Prince Edward Island Business Women’s Association (PEIBWA) is searching for an Administrative Assistant - Bookkeeper to help grow and serve the membership across the Island.
Reporting to the CEO, this role combines administrative support with basic bookkeeping duties, making it ideal for individuals who excel in multitasking and managing financial records. The successful candidate will provide administrative assistance to our team while also handling bookkeeping tasks to ensure smooth and efficient office operations.
Responsibilities Include
Administrative Support:
- Manage and organize office correspondence, including emails, phone calls, and mail.
- Schedule and coordinate appointments, meetings, and events.
- Field inquiries from and correspond with membership regarding accounts
- Maintain filing systems, ensuring accuracy and confidentiality.
- Provide receptionist duties as required
- Assist in preparing reports, presentations, minutes and other documents, including to the Board as needed.
- Work with other team members to support day-to-day administrative operations
- Monthly report preparation as required for Board and CEO.
- Assist with administrative requirements of various compliance programs relating to grants and claims
Bookkeeping:
- Record day-to-day financial transactions and complete the posting process through Quickbooks online.
- Reconcile sales taxes, payroll taxes, and bank accounts by resolving discrepancies.
- Process accounts receivable/payable and handle payroll in a timely manner.
- Prepare financial reports by collecting, analyzing, and summarizing account information.
- Generate member statements and oversee member collections with the Business Development and Membership Officer.
- Work with the Treasurer and auditor to conduct year end preparations, transactions and reconciliations.
Qualifications:
- Diploma in accounting, office administration or related field or demonstrated equivalence
- Experience as an administrative assistant, bookkeeper, or similar role.
- Strong working knowledge of bookkeeping processes, best practices and Canadian accounting standards.
- Familiarity with Canadian payroll tax regulations and payroll procedures.
- Proficiency with office software (e.g., Microsoft Office Suite), bookkeeping software (e.g., QuickBooks), and database systems.
- Experience with Wild Apricot considered an asset.
- Excellent organizational, time management, and multitasking abilities.
- Excellent interpersonal skills, including the demonstrated ability to produce polite and professional communications verbally and in writing.
- Attention to detail and problem-solving skills.
- Ability to work with discretion and handle confidential information.
Salary: $45,000 - $50,000 per year
